Inviting Your Team and Managing User Roles in ActivistCentral
ActivistCentral lets you invite coworkers to your organization and give each person an access level that fits the work they need to do.
Most organizations will use Managers for staff members who work regularly in ActivistCentral. Volunteers have more limited access designed specifically for assigned Live Calling work.
Open Team Settings
To manage your team, go to:
Settings → Team
From here, Organization Admins can:
- Invite new team members
- View pending and previous invitations
- Resend active invitations
- Send a new invitation when an earlier invitation has expired
- Change a team member between the Manager and Volunteer roles
- Remove team members from the organization
Choose a Role
When inviting someone, choose the role that matches the work they will be doing.
Organization Admin
Organization Admins manage the organization and its account-level settings.
In addition to the day-to-day tools available to Managers, Organization Admins can manage areas such as team access, billing, organization settings, and messaging configuration.
For security, Organization Admins cannot give another user the Organization Admin role themselves.
If your organization needs another Organization Admin, contact ActivistCentral.
Manager
Manager is the appropriate role for most staff members who regularly work in ActivistCentral.
Managers can perform day-to-day work across the platform, including working with contacts, lists, tags, organizations, connections, memberships, interactions, events, and outreach campaigns.
Managers do not manage team access, billing, or most organization-level messaging and account configuration.
Volunteer
Volunteer is a specialized role for people participating in Live Calling.
Volunteers can work with the Live Calling campaigns and calling assignments that have been assigned to them. They do not have general access to your organization's Contacts directory, Lists, Events, Memberships, campaign-building tools, or other staff areas.
If someone needs to work throughout ActivistCentral rather than only make assigned calls, use the Manager role instead.
Invite a Team Member
Go to:
Settings → Team
Under Invite team member:
- Enter the person's email address.
- Choose Manager or Volunteer.
- Select Send invite.
ActivistCentral sends an invitation to the email address you entered.
The invitation remains available for 7 days.
Once the person accepts the invitation and joins your organization, they will appear under Team members.
Manage a Pending Invitation
Pending invitations appear under Invitations on the Team page.
For an active invitation, you can:
- Resend invite to send the invitation again
- Cancel invite if the person should no longer be invited
Resending an active invitation does not restart its 7-day expiration period.
If an invitation expires, ActivistCentral marks it as Expired. Use Send new invite to create and send a fresh invitation with a new expiration period.
You can also cancel an expired invitation if it is no longer needed.
Change a Team Member's Role
Organization Admins can change existing team members between Manager and Volunteer.
Go to:
Settings → Team
Find the person under Team members, then change their role.
If someone who was helping only with Live Calling begins doing regular staff work in ActivistCentral, for example, you can change them from Volunteer to Manager.
Organization Admins cannot promote another user to Organization Admin. Contact ActivistCentral if your organization needs an additional administrator.
Remove a Team Member
If someone should no longer have access to your organization:
- Go to Settings → Team.
- Find the person under Team members.
- Select Remove.
- Confirm the removal.
Removing someone from your team removes their access to that organization.
Inviting Volunteers from Live Calling
Live Calling also provides a convenient way to invite new callers.
When you use Invite callers from Live Calling, ActivistCentral creates a Volunteer signup link that you can copy and share with the person.
This is different from the invitation on Settings → Team:
- Settings → Team sends an invitation by email.
- Live Calling → Invite callers creates a signup link for you to share yourself.
People invited through the Live Calling workflow join as Volunteers.
Which Role Should I Choose?
For most organizations, the decision is simple:
- Choose Manager for staff members who need to work throughout ActivistCentral.
- Choose Volunteer for people who only need access to assigned Live Calling work.
- If you need another Organization Admin, contact ActivistCentral.
You can change a Manager to a Volunteer, or a Volunteer to a Manager, later if their responsibilities change.
